Job Purpose

We are looking for a highly motivated, organised and proactive individual to provide admin and business support to the team. 

In this role you will liaise with customers directly and provide admin support which will ensure the smooth, efficient and professional delivery of our courses.

We are looking for a self-starter with experience in office management and the ability to streamline processes to improve overall service delivery.

Key accountabilities

  • Find suitable venues, book facilities (including catering) for all courses.
  • Prepare pre-course information and course materials.
  • Export participant information to customer management system.
  • Register all learners on ILM walled garden, scan in work books and prepare IV/EV (Internal/external verification) documents as per programme timescales.
  • Set up MTQ (Mental Toughness Questionnaire) schedules, download and print reports.
  • Monitor levels of course materials and marketing materials.
  • Basic financial processes – processing invoices and tracking income/expenditure.
  • Track programme outputs and input into reporting systems.

Person Specification


  • Minimum secondary education with GCSE in Maths and English grade C or above.
  • BTEC/HNC in a Business Administration related subject or 1-2 years’ experience in a busy office environment.
  • Ability to manage time effectively and maintain high levels of performance.
  • Can investigate, understand and resolve issues quickly and efficiently.
  • Excellent written and spoken English.
  • Experience in using online accounting software such as Quickbooks, Xero or Sage in a business setting.
  • Computer literate, especially in Microsoft packages.
  • Numerate and able to understand and work with project budgets, financial reports and financial management systems. 
  • Good team player, self-motivated and able to instigate, lead and manage work with minimal input from Innovation Lead.

The post is offered on 2 year fixed term with potential to lead to permanent appointment


The appointment is subject to the satisfactory completion of a six month probationary period
